  • The Back Button on Your Browser: Avoid It!

    Traditionally, the Back button is used to go back and forth on Web pages when surfing on the Web. However, for this system, please DO NOT use the Back button. If you do use it, you may encounter error messages and discover that information you thought had been successfully entered has been lost. Alternatively, it may appear that information has been lost when it has not. Some data providers have accidentally entered programs twice because they used the Back button and could not see a listing of their program.

    Fortunately, there are links provided on each page that will allow you to go "back" to your institutional information or your program description. If you have accidentally used the Back button extensively, you may have to re-enter your user ID and password and begin again.

  • Partial Entries: Don't Do It!

    The system has been designed in such a way as to prohibit partial entries of program information. Program descriptive data cannot be saved without the accompanying performance data (where applicable). Rather than attempting to enter descriptive data and add in performance data when it becomes available, it is highly advisable to postpone data entry until you have all the relevant information for any given program at hand.

    Each time the program information is saved, it triggers an e-mail message that goes to the Michigan Works! agency (if you have indicated the program should be ITA-eligible). This means that if you enter incorrect information with a plan to return and edit later, your Michigan Works! agency will be notified not only of your original posting but at the time you complete your edit. If incorrect data has been entered, the Michigan Works! agency may mistakenly reject your application as nonresponsive to the system requirements.

  • Multiple Programs With Similar Information

    You may find that you have the same programs offered at multiple sites. Instead of typing the same text-based information several times, you can copy and paste the program description from a text file. The text file will enable you to save time and will also ensure consistent, correct information for each entry.

  • System Time Out

    The system "times out" after an hour. When a system "times out," it "forgets" about data you have entered but not saved. If you have started to enter information, and have another task to do that takes more than an hour from the time you stop entering information, the system will time out and you will lose partial program data. (Programs that have been completely entered, including both performance and descriptive data, will not be lost. Only the data for the specific program for which you were entering data is subject to a time-out problem.)

  • Performance Data: Understanding The Logic of the Fields

    For the completion rate fields, there are several equations built into the system that you may encounter. For example, the number of completers cannot be higher than the number of students who were enrolled during the reporting year. Similarly, the sum of students who completed, took early placement, died, and are still enrolled cannot exceed the number that were enrolled at any time during the year. The Web site has been structured to "do the math" and return an error message if the numbers you enter are technically impossible.

  • Performance Data for New Programs

    If the program for which you are entering data is a new offering at your school, the second page (performance data page) will have zeros in all of the fields as placeholders. This mechanism is automatic and was built in so that you can save your information.

    (You will not even see this unless you edit the program information and change your answer on "Is this program new?" from "yes" to "no.")

  • Selecting Appropriate CIP Codes

    "CIP" stands for Classification of Instructional Programs, a system of categorizing educational program by content. When selecting your CIP codes, try to choose the code that most closely describes the content of your training program. Please avoid using program titles and CIP codes that refer to education unless your students are being trained to become teachers: the CIP code should indicate what you are training students to be able to do. CIP codes are used to match educational programs to appropriate occupations for occupational searches and labor-market data.

  • Highlighting Your Choices

    Choosing a CIP code for your program is a three-step process. When you are given a list of options to choose from, it is necessary to highlight your choice before proceeding to the next tier of choices. This is true even if there is only one option listed, which is usually the case when you are in the third and final stage of CIP code selection. Please highlight the program title before you click the "Add Program" button.
